I. General Provisions and Legal Disclaimer
These Terms and Conditions define the rules for using services provided by Towarzystwo Psychopedagogiczne based in Bolesławiec (59‑700), ul. Warszawska 1/3, Poland, KRS: 0000586474, NIP: 6121856217 (hereinafter: "Service Provider" or "TPP").
⚠️ Important Legal Notice: The services provided by TPP are of a psychosocial counselling, educational, mental training, and support nature. They do not constitute healthcare services under the Act on Medical Activity, nor clinical psychotherapy within the meaning of public health regulations. TPP is a support and development facility, not a medical entity.
Online support services and know-how regarding counselling standards are delivered in cooperation with the Australian entity: Hobweek Agency AU (ABN: 33 257 573 623), ensuring international service standards.

II. Definitions
- Client – a natural or legal person using the Services. Under these Terms, the Client is not a "patient," and TPP does not maintain medical records, but rather client support files.
- Service – any service listed in the Price List (e.g., consultation, psychosocial training, counselling, workshop), which is not medical treatment.
- Specialist – a person providing services on behalf of TPP (Counsellor, Pedagogue, Master of Psychology, Trainer) with appropriate substantive qualifications.
III. Contract Conclusion and Payments
A service contract is concluded upon:
- a) Making an online booking and prepaying (Przelewy24, BLIK, Card);
- b) Scheduling an appointment by phone (payment required at the reception desk before the session starts – card/cash).
Payment: The condition for commencing the Service is the settlement of 100% of the fee before it begins. The Specialist has the right to refuse to conduct the session if payment is not made.
Prices listed are gross prices.
IV. Cancellation Policy and the "4-Hour Rule"
TPP incurs costs related to room reservation, specialist's working time, and infrastructure (so-called readiness to provide service costs).
- Cancellation or Rescheduling: The Client has the right to cancel or reschedule the visit free of charge no later than 4 hours before its scheduled start. This can be done via the online system or by contacting the Reception.
- Late Cancellation or No-Show: In the event of cancelling the visit less than 4 hours before the appointment or failing to appear, the paid amount is non-refundable. It covers the costs incurred by TPP for organization and blocking the slot, which cannot be resold to another Client.
For visits to be paid on-site, failure to cancel in time results in an obligation to settle the fee at the next visit or the issuance of a debit note.
V. Opinions, Documentation, and Courses (Special Procedures)
Psychosocial and Court Opinions:
- a) Preparation of an Opinion (e.g., for court, school) is a separate service governed by a separate written agreement concluded after an initial consultation with the Opinion Expert.
- b) The fee for the Opinion is collected in advance. The document serves as a private (out-of-court) opinion or an ad hoc expert opinion (if ordered by a court).
- c) Withdrawal from the opinion contract after the diagnostic process has begun does not entitle the Client to a refund (due to the specialist work already performed).
Certificates:
- a) Certificates of participation in therapy/courses are issued for a fee (according to the Price List) and solely based on facts (attendance).
- b) The fee is paid before the document is issued. TPP does not correct the content of certificates at the Client's request if such requests contradict the facts.
Competency Courses: Participation in courses (e.g., for parents, couples) is governed by separate Course Regulations signed before the training begins.
VI. Liability and Safety
TPP provides services with due diligence, in accordance with International Counsellors ethical standards.
The Client acknowledges that in the event of a threat to health or life (e.g., psychosis, suicidal thoughts), the TPP Specialist – not being a medical doctor – is obliged to call Emergency Services (112) and terminate the session. This does not constitute grounds for a service complaint.
TPP is not liable for the consequences of the Client concealing significant information about their mental health status (e.g., psychiatric treatment, court judgments).
VII. Complaints and Final Provisions
Complaints regarding services should be submitted in writing to: reklamacje@psychopedagog.org. The consideration period is 14 days.
Due to the specific nature of the services provided (services strictly related to the person or with properties specified by the consumer), the right to withdraw from a distance contract expires upon performance of the service or 4 hours before its scheduled start (readiness to perform).
The administrator of personal data is TPP. Data is processed for the purpose of contract execution.
In matters not regulated herein, Polish law shall apply. The competent court is the court having jurisdiction over the Service Provider's seat.
